Administrative Assistant

Department: Technical Operations
Location: La Vista, NE

Position Summary:

The Administrative Assistant will provide administrative support to executive leadership in all aspects of their daily work activities.

Responsibilities:

  • Set and keep daily agenda of assigned executive(s). Schedule meetings as requested within provided constraints.
  • Anticipate needs, identify necessary pre-work, and ensure the executive is prepared for meetings and other responsibilities.
  • Increase the efficiency of the executive through project support and organizational skills. Manage deadlines and offer guidance on deadline management as appropriate.
  • Plan off-site meetings including meeting logistics, travel arrangements, and drafting board communications with necessary details.
  • Perform executive timecard curation and review of the timecards of executive team direct reports as requested.
  • Draft / proofread confidential communications including correspondence.
  • Prepare expense reimbursements and corporate credit card reconciliation.
  • Handle travel planning and travel arrangement needs, including itinerary development.
  • Attend requested meetings to support meeting management and/or provide meeting minutes.
  • Serve as a team with other administrative support professionals. Support shared consciousness while maintaining a high degree of discretion and confidentiality.
  • Provide backup support to the administrative support team as needed.
  • Provide backup receptionist support. Occasionally complete mail pick-up from the post office.

  • Perform other administrative duties as assigned.

Experience/Requirements:

  • Minimum two years work experience as an administrative assistant or receptionist. Experience working with senior leadership preferred.
  • High school diploma or GED required. Associate’s and/or bachelor’s degree in Business Administration or a related field preferred.
  • Skilled in Microsoft Outlook, Word, Excel, and PowerPoint
  • Strong customer service skills
  • Ability to work independently with minimal supervision
  • Good organizational and problem-solving skills with multi-tasking abilities
  • Effective verbal, written and interpersonal communication skills
  • Ability to maintain a high level of professionalism and tact
  • Experience in adapting to an evolving organization and changes in priority
  • Ability to uphold a strict level of confidentiality

Physical Requirements:

  • Ability to work on a computer for extended periods of time.
  • Ability to sit for extended periods of time.
  • Hours are generally Monday-Friday, 8:00 AM-5:00 PM. As operational deliverable deadlines emerge there could be extended working hours.
  • Light work requiring exertion up to 20 pounds of force occasionally and/or up to 10 pounds of force frequently and/or a negligible amount of force constantly to move objects.
  • Ability to work from La Vista, NE office with reliable and predictable attendance
